Description:Summary of Position:
Executive Director will plan, organize, and oversee a range of services and events for members. The Executive Director is responsible for the day-to-day operations and financial management of the Sublette County Chamber of Commerce. The Executive Director acts as the liaison for the Chamber with other organizations, chamber membership, staff, and the community. Job responsibilities may include but are not limited to:

The Director’s primary responsibilities include finance and administration; fundraising including grant writing, contracts-for-service, and membership; communications, including marketing and public relations; policy formulation, articulation, and governmental advocacy; Board and Committee governance and relations; relationship and partnership management; member relations, casework and problem-solving; managing and motivating staff and volunteers. The Director is expected to communicate and implement all policies and provide leadership and direction that creates a high level of enthusiasm, expectancy and momentum among the membership, and the Sublette County, Wyoming business community.

Chamber Mission Statement:
To create and foster a sustainable business climate in Sublette County.

Duties to the Board of Directors
• Coordinate all Chamber activities including board meetings, general membership meetings, special Chamber projects and events.
• Provide regular activity, financial and membership reports at least 3 days in advance to Board via email, and paper copies at monthly meetings including: Profit and Loss of previous month, Profit and Loss – Budget vs. Actual of previous month, Balance sheet of previous month, membership reports.
• Work with the Board of Directors to develop the long-term strategic plan of the Chamber and to define annual business plan for the upcoming year.
• Other duties or special projects as directed by the Board President or by the Board of Directors through the President.
• Scheduled meetings with the Board of Directors will be every second Tuesday of each month at 12:00 pm.
• Participate in bi-annual reviews with Board President and/or Board Vice President.

Public Relations
• Establish and maintain contacts with local media.
• Represent the Chamber at community meetings and activities. Participation to be prioritized by Annual Business Plan and Board of Directors.
• Ensure retention of members and collection of membership dues.
• Ensure that a "non-agenda forum request form" is to be made available at all open meetings for the public.
• Develop and execute social media strategy.
• Maintains the tourism website, distributes monthly e-newsletters, and maintains and updates social media. Develops and maintains a positive public image through community emails and media releases.

• Establish and maintain a protocol for welcoming new businesses and securing Chamber memberships.
• Develop and maintain effective communication strategy to promote chamber events and benefits.
• Ensure retention of members and collection of membership dues.
• Maintain database of membership and dues. Report membership status to Board monthly.

Financial Responsibilities:
Oversee the general finances of the Chamber.
• Enter all bookkeeping and financial records utilizing QuickBooks in timely manner.
• Create annual invoices for members via QuickBooks.
• Responsible for all Accounts Payable & Payroll (QuickBooks and EFTPS-941 and quarterly reports).
• Prepare Annual Budget in coordination with the Board and submit funding requests to funders/grant sources in timely manner.
• Evaluate revenues & expenses monthly to ensure Program is within established budget – any variance must be approved by the Board.
• Reconcile all bank accounts each month.
• Bring money to bank for bank deposit.
• Use debit card for appropriate SCCC business. Must maintain all receipts and file accordingly.
• Responsible for ensuring that signatures can be obtained from appropriate signatories so that payment can be made on obligations of SCCC from 2 of the following: Board President, Board Vice President, Board Secretary, and Board Treasurer.

Fundraising/Grant Responsibilities:
• Search for and maintain list of current and future grant opportunities.
• Coordinate submission of grant applications and follow up reports in timely manner.
• Coordinate and oversee fundraising events and activities.

Personnel Responsibilities:
• Coordinate new staff orientation and provide all necessary and proper documentation to new staff.
• Report any issues with personnel to Board in a timely manner.
• Conduct bi-annual reviews with all staff.

Building Responsibilities:
• Maintain compliance with all State, County and Town regulations: including health inspector, and fire regulations.
• Keep all appropriate materials and files organized and available for reference.
• Oversee that the facility is maintained and clean at all times – notify the Board of any deficiencies and/or maintenance needs outside of normal cleaning/maintenance.

Additional Responsibilities of the job include but are not limited to the following.
• Responsible for reading and adhering to the guidelines as established in the employee handbook and adhering to all Sublette County Chamber of Commerce policies.
• Oversee the day-to-day operations of the Chamber, including management of programs, staffing, membership, and marketing efforts.
• Work with Board President to prepare agendas and materials for Board Meetings.
• Serve as the principal spokesperson and ambassador for the Chamber.
• Represent the Chamber at business and community events, meetings, etc.
• Build partnerships with other organizations.
• Implement a marketing plan for the Chamber to assure a positive community image.
• Develop and maintain a positive and helpful relationship with Town and County governmental agencies.
• Develop goals and long-range plans of the Chamber.
• Any additional duties as assigned by the Board of Directors.
• Coordinate social events within the community.
• Will provide 3 days in advance notice of absence.
• Must have the ability to report to work on a regular and punctual basis.

Qualifications and Education Requirements
• At least 21 years old.
• Must be able to communicate effectively in English both verbally and in writing.
• Efficient in using computers & software including QuickBooks, Microsoft Word, Excel, Email, Adobe, Power-Point, Zoom, and Social Networking Sites.
• Associate degree or higher in Business or Marketing or a similar field.
• Understanding of basic accounting principles and practices.
• Must be available for flexible work hours, including some nights and weekends.
• Attend trainings required or recommended by Board of Directors.

• $40,000-$45,000

Physical Requirements
• Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 25 pounds.
